Sacred Heart & St. Marys Seek Office Manager

Job Opening! Office Manager for Sacred Heart & St. Mary's Parishes, Rock Island!

We are seeking a faith-filled, energetic person to be a part of the team here at Rock Island's Historic Catholic Parishes! This position is a combination of receptionist, secretary, business manager, and personal assistant. This position heavily involves communication, organization, computer skills and versatility in helping our parishes serve our parish families.

Duties and Responsibilities

·      Providing a welcoming presence for visitors to the parish offices

·      Assisting visitors to the parish offices by obtaining information or paperwork needed

·      Answering and routing phone calls

·      Facilitating completion of weekly bulletin and preparing materials for weekend liturgies

·      Updating website content to keep current

·      Updating/maintaining all Sacramental Registers – Baptism, First Communion, Confirmation, Marriage, Death records

·      Scheduling requested Mass intentions/collecting stipends

·      Managing shared church Calendar – Assigning/reserving rooms for ministry events and meetings; coordinating non-ministry groups and overseeing required insurance info

·      Assisting the pastor with scheduling appointments, correspondence, and typing

·      Monitoring/purchasing replenishment of office supplies

·      Helping plan and coordinating staff and parish events

·      Sorting/distributing incoming mail, responsible for mailing marriage license to county clerk after each wedding and for maintaining supply of Diocesan Pre-Nuptial Questionnaires

·      Keeping up with Diocesan correspondence and deadlines

·      Assisting with accounting book work/data entries

·      Maintaining up-to-date parish rosters and contact information

·      Organizing parish records/preparing organization for archiving

·      Maintaining up-to-date pastoral care list/facilitating regular visitation schedule

·      Other duties as needed to help advance the mission of our parishes

Knowledge and Skills

·      Ability to provide a welcoming and friendly presence to visitors to the parish office and those on the phone and have the ability to work well with others

·      Should have knowledge of and, experience with using technology/software such as Microsoft Office, Squarespace, email, Google calendar and willingness to learn the basics of the parish accounting software

·      Ability to maintain good organization, manage projects, identify priorities, communicate with people of different cultural and language backgrounds

·      Willingness to work in a collaborative atmosphere and to be flexible in cooperation

·      Openness to ongoing learning, skill development, and growth
